Position Summary:
As the first point of contact for participants, families, and community members, the Access Coordinator plays a key role in creating a welcoming, inclusive, and emotionally safe space for adults accessing services at Stella’s Place. Rooted in principles of trauma-informed care, anti-oppressive practice, and youth engagement, this role supports young adults (aged 16–29) as they access mental health services, drop-in support, and wellness programming.
You’ll balance administrative tasks with human connection—providing participants with warmth, clarity, and support as they navigate their recovery journey.
Key Responsibilities:
Participant Engagement & Support
- Greet all participants and visitors with warmth, respect, and non-judgment.
- Create a trauma-informed front desk experience that centers participant choice and comfort.
- Respond to inquiries in person, over the phone, or via email in a clear and supportive manner.
- Offer information about services, eligibility, and registration processes.
- De-escalate situations with empathy and calm, using relational tools and team support.
Booking & Access Coordination
- Collaboratively support participants in booking appointments with clinicians (psychiatrist, family physician, drop-in counselling, etc.)
- Maintain up-to-date scheduling systems and respond to changing availability or participant needs.
- Ensure accurate records of contact, bookings, and service requests in client databases.
- Monitor participant flow and space capacity in drop-in areas (e.g., Café) and notify the manager when needs arise.
Administrative & Operational Support
- Maintain the organization and cleanliness of the front desk and shared spaces.
- Manage confidential documentation, intake forms, and waitlists with discretion and accuracy.
- Support operational flow by communicating participant needs to clinicians and peer workers.
- Assist with outreach, program sign-ups, and community resource navigation as needed.
Qualifications:
- Diploma or degree in Social Work, Child & Youth Care, Psychology, Mental Health & Addictions, or Office Administration with relevant experience.
- Experience in mental health, youth engagement, or social services preferred.
- Strong interpersonal and communication skills; ability to hold space for others without judgment.
- Knowledge of trauma-informed, anti-oppressive, and culturally responsive practices.
- Familiarity with scheduling software, client databases, and Microsoft Office/Google Suite.
- Ability to multitask in a busy environment with warmth, clarity, and boundaries.
- Ability to keep their camera on during video conferencing.
Working Conditions:
- Hybrid model with a minimum of three days per week in the office.
- Occasional evening or weekend hours may be required.
- This position entails both sedentary and active tasks, including engaging with individuals who may be navigating diverse and complex emotional experiences.
- Some lifting up to 40lbs is required.
SALARY & BENEFITS:
Salary: $58,985.01 and comprehensive health benefits, 3 weeks vacation
HOURS & REPORTING:
This position reports to the Expressive Arts Therapy Manager.
Hours of work are 40 hours per week, Monday to Friday, 10-6:00p.m. or 12:00-8:00p.m..
